The minute plan of the event day records programme item, time, place and responsible people. Responsibilities hang on people from the team, not on names in a column.

Displays, microphones, headsets: with quantity, location and approval requirement, assigned per event. What is tied to a venue is available only there; what is organisation-wide can be scheduled anywhere.

Roles limit access

On the day, staff see check-in and their own guests, coordinators their events, stakeholders read only. That is not a view option but a boundary in access.

Can the team see the run of show on their phones?
Yes. The dashboard runs in any device’s browser; for the event day there is also the staff app with check-in and the own guests.
How does HEIvent prevent equipment from being scheduled twice?
Through the availability check: every item has a stock, and events reserve from it. What is tied to a venue can only be scheduled there.
Which team roles are there?
Admin, event manager, coordinator, staff and read only. Roles determine access, not navigation; staff, for instance, see only check-in and their own guests.
