Travel data becomes a timetable
Guests arriving by plane need a pickup; guests arriving by train need a different meeting point. HEIvent reads that from the registration, gathers it in one arrival list and turns it into journeys, without anyone reconciling three spreadsheets.

What this area can do today; every item exists in the product and is included in the free Community edition.
- Arrival list with mode of transport, connection, terminal, arrival point and departure per guest
- Arrival points as their own planning layer (airport, station, venue) instead of free text
- Filters “Transfer” and “Hotel missing” show the open cases with one click
- Routes and journeys with departure time and capacity; guests are assigned from the open pickups
- Bus operators accept the request via an access link and report vehicle and driver themselves
- Drivers see passenger list and status on their own device; guests board by QR code
- A host per guest; the dossier PDF bundles arrival, hotel and contact for the reception desk
From arrival point to journey
A route connects arrival point and destination; a journey has a departure time, a vehicle and a capacity. You assign guests from the open pickups; the list shows per journey how many seats are taken and who is on board.
The arrival list knows every guest
Everything a guest states about their journey in the registration form lands here: mode of transport, flight or train number, terminal, time, return trip. Additions go straight into the row. The count tiles at the top double as filters.
- One click on “Transfer” shows only those who need a pickup
- Cancelled guests can be hidden without deleting them
- Outbound trip, arrival point and return trip sit side by side
Arrival points instead of free text
“FRA Terminal 1” and “Frankfurt Airport” are two different things to a spreadsheet. In HEIvent the arrival point is its own planning layer with a pickup spot. Only that makes it possible to group guests into journeys.
Operators and drivers without an account
The bus operator gets a link, not an account. It accepts the request and enters vehicle and driver; you see the state immediately in the journey list. On the day, the driver opens their own link: passenger list, QR boarding, status updates.
Those involved take part. Without an account.
Whoever contributes to this area from outside gets a personal link instead of an account someone has to manage.
