Capacity is a hard number

A workshop with 25 seats has 25 seats. The seat is locked at booking time; two guests who click the last seat at the same moment do not both get a confirmation. Whoever is too late lands on the session’s waiting list.

Time clashes before they happen

If a guest books two sessions at the same time, the system says so, not the speaker the next morning. The programme stays consistent for every guest.

Who was really in the room

A booking is an intention, not evidence. At the room the guest scans the code or the team scans their ticket; that produces attendance per session, the basis for attendance certificates, for promoting the waiting list and for the control room that shows every room’s occupancy live.

Speakers take part

Profile, talk title, abstract, contract and expenses: speakers maintain these themselves through a personal link. The team sees the state without sorting emails.

Where do guests book their sessions?
On the event website in the programme block or through their personal link from the confirmation email. Both write into the same booking.
What happens when a session is full?
The guest lands on that session’s waiting list. When a seat frees up, they move up. Capacity is locked at booking time, so no overbooking occurs.
Can speakers enter their own details?
Yes. Through the speaker portal they maintain profile, talk details, contract and expenses without an account of their own; they get a personal link.
How do I record who attended a session?
By scanning at the room: the guest scans the room code with the guest app, or the team scans their ticket at the door. Attendance is recorded per session and feeds attendance certificates, the waiting list and the control room.
